Difference Between BR and FR with simple Example

In any project, the most important step for a Business Analyst is to understand the requirements correctly. If the requirements are not clear, the entire project can fail. Many beginners in business analysis get confused between two important terms. Business Requirements and Functional requirements. Although they sound similar, they have different meaning and different purposes. Understanding the clear difference between them is very essential for a Business Analyst to deliver a successful project. Business requirements are high-level requirements that describe the main goals and needs of the organization. They explain WHY a project is needed. These requirements come directly from business stakeholders, clients, and management. They focus on the business problem and the business value. For example, if a company is facing low sales on its website, the business requirement can be "increase online sales by 30% in the next six months" or " Reduce customer complaints by improving the support system". Business requirements do not talk about technology or how the system will work. They only talk about what the business wants to achieve. Business requirements are usually documented in the Business Requirement Document (BRD). They are the starting point of any project and help everyone to understand the main vision of the project. Functional Requirements are detailed requirements that describe HOW the system should work to fulfill the business requirements. They explain the specific features, functions, and behavior of the system. These requirements are more technical and detailed. They are written from the perspective of the system and the end-users. For ex, for the business requirement "Increase online sales by 30%", the functional requirements can be "The system should allow users to add products to a wishlist" , "The system should provide multiple payment options like UPI, credit card, and Net banking" , and the system should send an automatic order confirmation email to the customer. Finally, in terms of documentation, business requirements are written in the BRD, and Functional Requirements are written in the FRD. A Business Analysts acts as a bridge gap between the business team and the technical team. if a BA does not understand the difference, it can create a big communication gap. If the BA only focuses on business requirements, the technical team will not understand what to build. If the BA only focuses on functional requirements without understanding the business goal, the final product may have many features but may not solve the real business problem, Therefore, a good Business Analyst should first clearly understand the business requirements by talking to stakeholders. After that, they should convert those business needs into clear and testable functional requirements for the technical team. This ensure that the final solution not only works correctly but also adds real value to the business. In conclusion, both Business requirements and Functional Requirements are very important for the success of a project. Business Requirements answer the question of WHY the project is needed, and functional requirements answer the questions of HOW the system will fulfill that need. One is about business vision, and the other is about system execution. A successful Business Analysis must be an expert in understanding both and maintaining a clear traceability between them. When both are documented clearly, the project has a much higher chance of being completing on time and meeting customer expectations.
