Tips and Tricks to Effective Communication technique for Business Analysts

As Business Analyst I have understood some simple ways for effective communication so here I will share my experience. As our profession of BA , we have to communicate daily with multiple people it can be online or offline ,with the internal and external stakeholders therefore it is very important to understand importance of effective communication. When we start a day or a call it’s very effective to greet everyone to start a conversion on good note. Its creates a positive vibes and it shows that we are taking initiate for communication. it is essential to keep sentences small and simple do not add fancy words, because we are talking with multiple background people for Business requirement , solving doubt, query so it is very important to keep words simple and clear so next person will also understand thoughts in clear way without creating confusion . Always keep in mind the communication is a two way process therefore as a business analyst, we should ask question to keep next person busy in conversion , make sure that conversion is two sided, otherwise next person may lost his interest in communication and divert his mind unconsciously from conversation. Sometimes it will be helpful for you as BA, for gather the requirement from stakeholder to understand or study about stakeholder before meeting so it will be helpful to creating question accordingly and understand point of view of next person. While communicating as BA in a meeting, it is important to avoid investing a scheduled meeting time in personal conversation; this will lead to wasting productive office hours of stakeholders. Instead of utilize that time to ask more questions about requirement and it be more productive. while having meeting with stakeholder always go with clear slate to understand requirement clearly, A BA always need to keep in mind that, we should not create our assumptions in mind about requirement instead of we should ask a question that we understood the requirements clearly. As experienced BA, The techniques which I have shared for effective communications, are those I have learned and understood over a experience with the facing many inconvenience and problem due to ineffective communication as a BA, sometime we may fail to understand the requirement clearly so it is most important for BA to sharpen the skill of conversion and learning new techniques for improving the skill. I have use these techniques over a years to develop the conversation this small and simple but important tips and techniques of communication always help me to improve bonding with stakeholder, understanding, highlighting and solving problem , coordinating with team. Solving queries and initiating meetings. Now I have understood that, asking a correct question is an art and we talk from our age of 2-3 year but communication is skill which we build over a period of time and BA becomes master of that art after an experience. therefore keep in mind always communicate with energy , confidence and keep conversation open ended which help to next person as well to share there thoughts , experience which will help you in your current project and future as well.
